Program Overview & Model

Our clinic is designed to remove upfront cost barriers for new or growing your virtual Naturopathic Doctors and clinics. HealthBuddha invests in your marketing and operational infrastructure — including your website, EMR setup, Google Ads, email automation, SEO, strategy, and technology — in exchange of a reasonable split of the revenue generated through your practice.

In a typical clinic, you work purely as an associate of their brand. The clinic:

  • Runs marketing campaigns on their clinic website,
  • Attracts patients to the clinic as a whole, and
  • Distributes leads based on who they think is the best fit, clinic priorities, or availability.

In our model, you are the focus/brand:

  • We run marketing campaigns specifically to promote you and your key clinical focus areas (e.g. gut health, women’s health).
  • We drive traffic to your own HealthBuddha-powered website, not just a shared clinic page.
  • Patients begin their journey with you, so you’re building that early relationship and trust directly, rather than being “one of many” on a clinic roster.

In short: a regular clinic markets the clinic; we market you as a practitioner and help you build your own patient base and brand.

HealthBuddha operates under ScaleUp42, which has been supporting naturopathic clinics and wellness businesses since late 2019 (effectively 2020 onward). HealthBuddha was created as a dedicated ecosystem to provide deeper partnership support specifically to naturopathic doctors.

Contract, Term & Exit

  • Minimum commitment: 6 months.
  • After 6 months, the agreement renews on a month-to-month basis (automatic 30-day renewals).
  • Termination: Any time after the first 6 months with 30 days’ written notice from either side.

The contract begins when we start doing the build — website, EMR setup, and technical infrastructure.

You start paying once you are actively seeing patients and generating revenue through the system.

At the end of each month, we reconcile:

  • Total revenue
  • Hard marketing/tech costs
  • The agreed revenue share split

Typical timelines:

  • Website design and build: about 2–3 weeks
  • EMR setup and configuration: done in parallel with the website
  • Integration and testing (online booking, payments, etc.): usually within the same window

From contract signing to “ready to accept patients,” you can expect roughly 2–4 weeks, depending on how quickly you approve content and provide information.

We start paid marketing when:

  • Your website is live and connected to your scheduling system/EMR, and
  • Your calendar is open and you’re ready to take on new patients.

Practically, we try to align this with the 1st of a month for clean month-to-month reconciling. Example:

You sign in mid-November.

We build your site and EMR and aim to have everything ready by December 1.

December 1 becomes your “marketing start date,” and that’s also when your ad spend and revenue tracking begin.

After the 6-month minimum term, you can leave with 30 days’ written notice. On exit you:

  • Pay any remaining hard costs (ads, hosting, email tools, etc.) up to your final day, and
  • Pay the revenue share due on your last month.

Then you choose how to handle the infrastructure:

  • Buyout: Purchase the website and marketing systems we’ve built for you. Typical buyout fees start around $7,500.
  • Maintenance-only: We continue to host and maintain your site and tech stack. You pay a fixed monthly fee, and we are no longer revenue partners.
  • If you choose neither, the infrastructure we built is shut down at the end of the notice period.

An exit fee of $1,500 will be payable.

You choose how to handle the infrastructure:

  • Buyout: Purchase the website and marketing systems we’ve built for you. Typical buyout fees start around $7,500.
  • Maintenance-only: We continue to host and maintain your site and tech stack. You pay a fixed monthly fee, and we are no longer revenue partners.
  • If you choose neither, the infrastructure we built is shut down at the end of the notice period.

There are no extra penalties beyond:

  • Respecting the 6-month minimum, and
  • Settling outstanding costs and revenue share up to your end date.

If, despite proper availability and collaboration, the program is clearly not working for you, it’s usually not in our interest to continue either. The model only works if both sides win.

Financials, Revenue Share & ROI

In the core partnership model, the 12.5% split applies to your total monthly gross revenue processed through the EMR and infrastructure we manage.

Example:

  • Total revenue: $10,000
  • HealthBuddha revenue share (12.5%): $1,250
  • Hard marketing/tech costs (e.g. ads, hosting, tools): $500
  • Your net (before your own overhead): $8,250

There are two layers:

Hard costs:

  • Google Ads budget
  • Email/automation tools (e.g. Mailchimp)
  • Hosting, servers, and related tools

These are paid upfront by HealthBuddha to third-party providers and then deducted from your revenue each month.

HealthBuddha’s fee:

A revenue share split that covers our time, strategy, and ongoing management.

Each month you effectively pay: Hard costs + 12.5% split

In the Virtual Clinic model:

We invest a fixed amount of $489 per month per practitioner into marketing and growth activities.

This budget is primarily used for:

  • Google Search Ads (main driver)
  • Retargeting (display/social)
  • SEO and related optimization work

At the end of the month, $489 is deducted from the total revenue we generated before calculating the revenue split.

We typically see practitioners reach the revenue levels shown in the example in about three months. This ramp-up period allows us to:

  • Build awareness and drive the first wave of new patients,
  • Optimize your campaigns, and
  • Begin generating consistent follow-up visits.

The exact timeline depends on two factors:

  • Your availability — the more hours you are available, the faster we can fill your schedule.
  • Seasonality — during peak seasons, you may reach your revenue target sooner than three months; during slower seasons, it may take slightly longer.

Overall, three months is a realistic benchmark for most practitioners to start earning at the level shown in the model above.

Our philosophy: Marketing spend is an investment, not a bill. You don’t need 20 new patients from $500 worth of marketing spend. If $500 brings you 4–5 good patients and each has multiple visits, you’re already profitable. As spend scales and your processes improve, cost per acquisition usually drops while total revenue grows.

We track:

  • Average revenue per patient
  • Average number of visits per patient
  • Seasonality (slow months vs peak months)

Then we adjust your marketing to keep you profitable while growing.

Yes, especially in the Virtual Clinic associate program where we’re investing a fixed monthly budget (e.g., $489).

As a rule of thumb:

We look for at least about 25 clinical hours per month in your calendar that we can fill.

At your typical hourly rate (for many NDs, ~$220/hour based on your own visit structure), 25 hours equates to around $5,500 in revenue.

Our goal is to achieve at least 75% of that by month three.

At that level, after the marketing budget and percentage split, you’re still taking home a healthy amount.

You do. You decide:

  • Initial visit fees
  • Follow-up rates
  • Appointment lengths
  • Any differentiation between virtual and in-person (if applicable)

We don’t impose a pricing structure on you, but we will give you feedback if we think a small adjustment (up or down) might materially improve your results.

Since we earn a percentage of revenue, it’s in our interest for your pricing to be both competitive and sustainable.

Yes. As part of our partnership we:

  • Help you calculate your true hourly rate from your current visit structure.
  • Run financial models (e.g., “What happens if you add 10 more hours a month?”).
  • Suggest rate adjustments based on what we’ve seen work across other practitioners.
  • Plan for seasonality (e.g., slower July/August vs stronger September/October/January).
  • Set realistic monthly and quarterly revenue targets.

This gives you a clear picture of:

  • What is possible in your schedule
  • What “good” looks like in a given month
  • When it makes sense to take time off vs. when it’s smart to lean into growth

Services & Scope of Work

Depending on the specific program (clinic partnership vs virtual associate), we typically provide:

Yes, for virtual and hybrid setups we can support lab coordination similarly to an in-clinic reception team.

A typical flow:

  • You decide which labs are needed and send us the details.
  • Our reception/admin support prepares the requisitions (e.g., Dynacare, LifeLabs).
  • We send the requisitions to the patient, manage payment collection (where needed), and coordinate with the lab.

You stay focused on clinical decision-making; we handle the admin steps.

Yes. We are restarting public-facing Lunch & Learn–style events and webinars.

These are designed for the general public, not practitioners.

You, as the practitioner, provide a short educational presentation (for example, 15–20 minutes on a topic like IBS, PCOS, or gut health).

We take care of:

  • Promotion and registration
  • Hosting the event (online format)
  • Positioning you as the featured practitioner
  • Driving attendees back to your profile/website and booking links

This becomes another channel to build your audience and generate qualified leads.

You do.

Our marketing and systems are set up so that interested patients can book a short discovery call with you.

We route those discovery calls into your calendar.

You use that call to:

  • Build trust
  • Assess whether you’re a good fit for each other
  • Invite them to book a full initial consultation

One reason we can keep the revenue share percentage relatively low is that you handle this front-end clinical conversation yourself.

It depends on the channel and the stage of the relationship:

Cold traffic (strangers who just found you through ads or search): CTA is usually a free discovery call, since they don’t know you yet.

Warm traffic (email subscribers, webinar attendees, past discovery calls): CTAs often go straight to “Book an initial consult” or “Book your follow-up.”

We design your funnel so the right CTA is in front of the right audience at the right time.

Our core acquisition channel is Google Search Ads — where patients are actively searching for naturopathic services and conditions.

Around that we layer:

  • Retargeting via Google Display and social platforms

EMR, Tech & Data

Our default EMR partner is OutSmart EMR, which works particularly well for multi-practitioner clinics and virtual setups.

We can work with Jane or other EMRs if:

  • We have full access to revenue and booking reports, and
  • All billable activity that’s part of the partnership flows through that EMR.

The critical part is transparent, accurate data — not a specific brand.

Yes. We track:

  • New patient volume per month
  • Type of cases/conditions coming in
  • Revenue per practitioner
  • Average visits per patient
  • Seasonal trends and campaign performance

We review this data with you:

  • Monthly: to check performance and make tactical adjustments
  • Quarterly: to set and refine strategy and goals for the next quarter
  • Annually: to plan for the next year’s growth

We don’t itemize every decision in advance, because we constantly adjust allocation based on performance.

However:

  • You will always see your overall revenue, marketing spend, and net.
  • We can provide a breakdown (e.g., how much went to Google Ads vs. other tools) in your monthly reporting when it’s helpful.
  • In practice, the majority of the $489 tends to go into Google Ads, with a portion used for SEO and retargeting support.

Think of us as your in-house marketing department, optimizing where that budget goes to keep you as busy and profitable as possible.

Patients, Leads & Marketing Flows

We cannot distinguish between “our” patients and “your” patients in HealthBuddha-provided EMR and infrastructure.

Our job is to

  • Bring new patients in,
  • Keep patients coming back
  • Grow the overall value of your practice

If you wish to do your own networking, community outreach, and referral building — we help systematize and amplify everything.

Technically, yes. You can run your own campaigns, do social media, collaborate with other clinics, etc. The key rule is - if the revenue lands in the EMR and systems that are part of HealthBuddha’s Clinic, it’s counted in the revenue share.

We don’t restrict you from doing more marketing; however, it would only make sense to communicate your marketing desires to avoid duplication of efforts.

They aren’t pooled or redistributed. We run campaigns specifically for:

  • Your practice
  • On your website and funnels
  • For your target conditions and audiences

A lead who finds and books through your site is your lead. We don’t send them to someone else.

Clinics, Multiple Practitioners & Locations

Yes — it can be a major advantage. In communities with large cultural groups (e.g., South Asian communities in Brampton/Mississauga):

Patients often prefer practitioners who understand their food, language, and cultural context.

That makes diet and lifestyle recommendations more realistic and builds trust faster.

Our campaigns can be tailored to those communities and your shared background.
